Penny is handling your family's most personal admin, so this matters. This policy explains what we collect, why, who we share it with, how long we keep it, and the control you have. We have written it in plain English, with the legal detail where it counts.

1. Who we are

Penny is a service provided by School Daze, a company registered in England and Wales (company number 17117332), based in London. In this policy "Penny", "we", "us" and "our" mean School Daze.

For the personal information described here, School Daze is the data controller under the UK GDPR and the Data Protection Act 2018. That means we are responsible for how your information is looked after.

2. What we collect

We only collect what Penny needs to be useful. That falls into a few groups.

Information you give us

  • Your contact details: your name and the WhatsApp phone number you message Penny from.
  • Your family: your children's first names, their school, their class or year group, and clubs or activities you tell Penny about.
  • Your messages: everything you send Penny, including text messages, voice notes, and documents, emails, newsletters, or links you forward to her.
  • The admin itself: the reminders, deadlines, appointments, tasks, and schedules Penny keeps for you, and who in your family they relate to.

Information created as Penny works

  • Extracted details: the dates, tasks, and to-dos Penny reads out of the emails, PDFs, and notes you send her.
  • Transcripts: a written transcript of any voice note you send, so Penny can act on it.
  • Your settings: your briefing time, weekend preferences, and how your household is linked with a second parent.

Payment information

  • If you subscribe, our payment provider Stripe processes your payment. We receive confirmation of your subscription and a customer reference, but we never see or store your full card details.

Basic technical information

  • Message delivery and error logs needed to run the service reliably, and standard server logs when you visit this website.

3. How we use your information

We use your information only to run Penny for you. Specifically, to:

  • Understand your messages and save the reminders, tasks, and details you ask us to keep.
  • Send your daily briefing and timely reminders about school and family admin.
  • Keep both parents in a household in sync on one shared to-do list.
  • Read the emails, newsletters, and menus you forward, and pull out what matters.
  • Transcribe your voice notes so Penny can act on them.
  • Take payment for your subscription and provide support when you ask for it.
  • Keep the service secure, working, and free of abuse.

We do not sell your data. Not aggregated, not anonymised, and not "shared with partners". We do not use your family's information to train our own advertising or to build a profile of you for marketing.

4. Our legal basis for using your information

Under the UK GDPR we must have a lawful basis for using your information. We rely on:

  • Performance of a contract: most of what Penny does is to deliver the service you signed up for.
  • Consent: for the personal and family details you choose to share with Penny, including any special category information you send. You can withdraw consent at any time (see "Your rights" below).
  • Legitimate interests: to keep the service secure, prevent abuse, and improve how Penny works, balanced against your rights.
  • Legal obligation: where we must keep certain records, such as for tax.

5. Children's information

Penny is a tool for parents and carers, not for children. It is designed to be used by an adult managing their family's admin.

Penny holds limited information about children (typically a first name, school, and class) because you, the parent or carer, choose to share it so Penny can help you. You are responsible for the information you share about your children, and you can view, correct, or delete it at any time by asking Penny or contacting us. We keep the amount of children's information we hold to the minimum Penny needs to do its job.

6. Who we share your information with

We share your information only with the trusted service providers ("processors") that make Penny work. They act on our instructions and are not permitted to use your information for their own purposes. They are:

  • Meta Platforms (WhatsApp Business Platform) — delivers the messages between you and Penny.
  • OpenAI — powers the understanding of your messages, the transcription of voice notes, and the reading of forwarded documents. OpenAI does not use data sent through its business API to train its models.
  • Supabase — our secure database, where your information is stored.
  • Vercel — hosts the Penny service and this website.
  • Stripe — processes subscription payments.

We may also disclose information if we are required to by law, to protect the safety of a person, or in connection with a sale or reorganisation of the business, in which case this policy would continue to apply.

7. Where your data is stored

Your information is stored securely in the European Union. Some of our providers are based in, or process limited data in, the United States. Where information is transferred outside the UK or EU, we rely on appropriate safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or Standard Contractual Clauses, so your information keeps the same level of protection.

8. How we protect your information

Penny is built on infrastructure that meets the highest security standards, including SOC 2 Type 2, ISO 27001, and HIPAA compliance. These are the same certifications required by hospitals, banks, and enterprise businesses handling sensitive data.

In practice that means your information is encrypted in transit and at rest, access is tightly restricted, and we collect only what Penny needs to do her job. No system is ever perfectly secure, but we take the protection of your family's information seriously and design Penny to ask for as little as possible.

9. How long we keep your information

We keep your information for as long as you use Penny, so she can remember your family's admin and act on it. When information is no longer needed, such as a reminder well past its date, it may be removed in the normal course of running the service.

If you stop using Penny or ask us to delete your data, we remove it as described below. We may keep a minimal record where the law requires it, for example basic payment records for tax purposes.

10. Your rights

Under UK data protection law you have the right to:

  • Access the personal information we hold about you.
  • Correct anything that is wrong or out of date.
  • Delete your information ("the right to erasure").
  • Restrict or object to how we use your information.
  • Portability — receive a copy of your information in a usable format.
  • Withdraw consent at any time, without affecting anything done before you withdrew it.

To use any of these rights, just ask Penny or email us at hello@schooldaze.co. We will respond within one month.

If you are not happy with how we have handled your information, you can complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to put things right first.

11. Deleting your data

You are always in control. You can:

  • Type "forget X" and Penny forgets that particular thing.
  • Type "delete everything" and we mean it. We remove your family's information from the service.

You can also email hello@schooldaze.co to ask us to delete everything we hold about you.

12. Cookies and this website

This marketing website is deliberately simple. It does not set advertising or tracking cookies. Our hosting provider may use strictly necessary cookies or basic logs to keep the site running securely. Penny itself works inside WhatsApp, so there are no cookies involved in using the service.

13. Changes to this policy

If we change how we handle your information, we will update this page and change the "last updated" date at the top. If a change is significant, we will let you know through Penny.
